Managing Prospects

How to search and filter your prospects, save filters, tag prospects and act on several prospects at once from the Prospects page.

Written by Anna Ralon

From the Prospects page you can find the prospects you need, group them, and act on many of them at once.

Searching prospects

Click the search icon at the start of the row above the table, then type. The search looks at the name, email address, job title, organization, phone number and LinkedIn URL.

Filtering prospects

  1. Click Add filter.

  2. Pick a property, for example Job title, Country or Has email.

  3. Set the condition in the box that opens: an operator such as contains, is or is empty and a value, or Yes / No for properties like Has email.

Each filter shows as a chip above the table.

Filters applied above the Prospects table
  • AND / OR: the word between the chips sets how they combine. AND shows prospects matching every condition, OR prospects matching any of them. Switching it changes it for the whole group.

  • Add group: starts a second set of conditions. The word between the groups applies to all of them.

Saving filters

When filters are applied, click Save filter and give it a name. Your saved filters are listed under Saved filters in the menu next to the columns icon.

Two saved filters are there from the start:

  • My prospects: the prospects you own.

  • Never Contacted: prospects who were never contacted and are not in a campaign.

The All prospects menu open under the toolbar, with the saved filters
  • Apply: click a saved filter in that menu.

  • Update: change the conditions of an applied saved filter and click Save filter. It is overwritten right away.

  • Rename or delete: hover the saved filter and click the pencil or the trash icon.

Note: Saved filters are personal. Your teammates do not see yours.

Tagging prospects

Tags are labels that group prospects, for example "Event leads" or "Priority accounts".

  • One prospect: click the + in the Tags column, or Add in the Tags section of the prospect panel.

  • Several prospects: select them, then choose Manage [number] prospects > Add tag.

  • New tag: type its name in the tag picker and choose Create "name".

To see the prospects with a tag, open Tags above the table and tick one or more tags. Ticking several shows prospects with any of them.

Note: A tag only changes when someone, or a campaign step, adds or removes it. A saved filter updates itself as prospects start or stop matching.

Acting on several prospects

Acting on several prospects at once is also called a bulk action.

Tick the box at the start of each row, or the box in the column header to select every prospect on the page.

Actions for selected prospects
  • Manage [number] prospects: add a tag, export a CSV file, add them to or remove them from the exclusion list, or delete them. See Managing the Exclusion List.

  • Add to a campaign: create a new campaign with the selection, or add it to an existing campaign. Prospects on the exclusion list are left out.

  • Find missing data: look up the missing email addresses or phone numbers. See Finding Phone Numbers.

Note: Export CSV and Delete only appear if your admin allows them. They do by default.

Adding prospects to a campaign

When some selected prospects are already in another campaign or were contacted before, Overloop asks which ones to enroll:

  • Enroll only the prospects never contacted (the default): skips prospects contacted before and prospects currently in another campaign.

  • Enroll all the prospects: prospects in another campaign leave it to join this one.

Exporting prospects

Export CSV exports the selected prospects. You receive an email with a link to your exports list, where you can download it.
