Importing Prospects

How to import prospects from a CSV or Excel file, step by step: upload, field mapping, configuration and preview.

Written by Anna Ralon

You can add prospects to Overloop in bulk by importing a CSV or Excel file. The import has four steps: Upload, Field mapping, Configuration and Preview.

Start an import

From the Prospects page:

  1. Click Add prospects.

  2. Choose Import new file.

The Add prospects window with Import new file

Admins can also go to Settings > Imports and click New Import. This page lists all past imports of your account.

Upload your file

Drop your file on the page, or click select from your computer.

  • File types: .csv and .xlsx.

  • Maximum size: 10 MB.

  • Excel files: only the first sheet is imported.

Note: Click Download sample file on the right for an example of a file Overloop can read.

Map your fields

Drag each Overloop field from the list on the right onto the matching column of your file, on the left. Columns you don't map are not imported.

The Field mapping step
  • Required fields: map at least the email, the LinkedIn profile, or the first name and last name.

  • Organization fields: if you map any organization field, also map the organization's Name.

  • Header row: the switch at the top tells Overloop that the first row holds column names, so it is not imported.

Lists (tags)

Lists and tags are the same thing: the import still calls them lists. Map a column to the Lists field to add each prospect to the tags named in that column. Values that match an existing tag are matched automatically.

When some values match no tag, the Assign Unmapped Values in the Lists field window opens:

  • Existing tag: drag the value from the left onto a tag on the right.

  • New tag: drag the value onto the box at the top right to create a tag with that name. You can also click that box and type a name.

  • Separator: several tags in one cell are split on commas. Pick another separator at the top of the window if needed.

Values you leave on the left are not added.

Configure the import

The Configuration step

Data Enrichment

Switch on Find and verify emails to check every email address in your file and find one for prospects without an email. An address that would bounce is replaced by a verified one when Overloop finds it.

  • Cost: 1 credit per verified email. Emails that are not found or not verified are free. More about credits here.

  • Requirements: map at least the email, the LinkedIn profile, or the first name, last name and organization name or website.

  • No valid email found: choose Create the prospect without email (the default) or Don't create the prospect.

If your credits run out during the import, the remaining prospects without an email are not imported, and the emails in your file are kept without verification.

Campaigns

Pick a campaign in Add prospects to campaign to enroll the imported prospects, and optionally the step they start at. Prospects already in your account are enrolled only when you choose Update prospect or organization, and not if they are active in a campaign.

Duplicate Management

Overloop recognizes a prospect that is already in your account by email address, then LinkedIn profile, then first name, last name, job title and organization.

  • Skip prospect or organization: the existing prospect is left as it is. This is the default.

  • Update prospect or organization: the existing prospect is updated with the values in your file. Empty cells never erase existing data.

Owner & Lists

  • Assign prospects to owner: by default, the owner is the person who imports. Not available when you map an Owner column.

  • Add prospects to lists: adds every imported prospect to the tags you pick. Not available when you map a Lists column.

Preview and start

The Preview step shows the first rows of your file as they will be imported. Click Start Import.

Note: If you leave after uploading your file, choose Finish Import Later. Admins find the import with the status Unstarted in Settings > Imports, where they can finish it.

After the import

The import runs in the background and its page shows the progress:

  • Lines processed: a counter and progress bar, with Stop to pause the import.

  • Lines imported and Lines failed, with View lines to see them.

  • Emails: verified, found and invalid emails, and the credits used, when you switched on Find and verify emails.

  • Download Report: a CSV file with the result of each line and the reason a line failed.

Lines fail, for example, when the prospect is on your exclusion list, is a duplicate you chose to skip, or has no email, LinkedIn profile or full name.

In the new interface, imported prospects show CSV import in the Created from column.
