Understanding Custom Fields

Custom fields let you customize how you store and organize data in Overloop, and consequently also in your CRM. They give you flexibility to match your CRM structure, import data cleanly, and automate updates. This helps you keep your lead information consistent across tools.


What Are Custom Fields?

Custom fields allow you to add your own data fields to prospects and organizations, beyond the standard fields provided by Overloop.

They behave just like regular field, you can:

  • View them in prospect details

  • Edit them manually

  • Filter, group, or sort by them

  • Use them in workflows

  • Map them in integrations

To access, go to Settings > Custom Fields > + Add Custom Field


Available Field Types

You can choose the data type that best fits your use case:

Field Type

Text (single line)

Short text like names, tags, or identifiers

Large text (multiple lines)

Notes or detailed descriptions

Number

Numeric values

True / False

Yes/No information

Single option

Dropdown with one selectable value

Multiple options

Dropdown with multiple selectable values

Phone

Phone number format

Website or link

Date / Date and time

For timestamps or deadlines

Tip: Use “Single option” or “Multiple options” for standardized lists like sources, industries, or regions.


Where Custom Fields Can Be Used?

Custom fields are available across the entire platform:

  • Prospect list view (as columns)

  • Prospect details panel

  • Filters and grouping options

  • Bulk edits

  • Workflows

  • Imports

  • Integrations with CRMs

  • Email and LinkedIn variables

  • Snippets


Example: Setting “Prospect Source = Overloop”

This example shows how to use a custom field to track where leads come from.

Step 1: Create the Custom Field

  1. Go to Settings > Custom Fields

  2. Click + Add Custom Field

  3. Name it Prospect Source

  4. Choose Type: Single option

  5. Add “Overloop” as an option (you can add more options)

Step 2: Apply It to Existing Leads

  1. Select your desired prospects from the Prospects Hub.

  2. Click Bulk Edit > Update Field > Prospect Source = Overloop.

  3. Confirm the change or update.

Step 3: Automate It for New Leads

  1. Go to Workflows > Create Workflow

  2. Trigger: Prospect is created

  3. Action: Update Field > Prospect Source = Overloop

  4. Save and activate

Now all new prospects will automatically receive this source tag.


Using Custom Fields in CRM Syncs

When you integrate with your CRM:

  1. Go to Features & Integrations > Field Mapping

  2. Map Prospect Source in Overloop to the Lead Source (or equivalent) field in your CRM.

  3. Save your mapping to ensure data stays consistent between platforms.


Best Practices

  • Keep field names clear and consistent.

  • Use workflows to automate updates.

  • Use dropdowns instead of text fields for standardized data.

  • Map your fields properly to your CRM to prevent sync errors.
